Bookings and deposits

Rentals are priced at a flat rate per event, as listed on our pricing section. A booking deposit of 50% of the rental price is required to hold your event date. The remaining balance is due at delivery. Dates are not confirmed until a deposit is received. Payments may be made by Apple Pay, Cash App, Venmo, Zelle, or cash.

A refundable damage deposit of $100 per machine is also collected at booking. It is returned after the equipment has been picked up and inspected, less any charges for damage, missing parts, or excessive cleaning.

Cancellations and rescheduling

Cancellations made more than 7 days before the event receive a full refund of the deposit. Cancellations made within 7 days of the event forfeit the deposit. Each booking may be rescheduled once at no additional charge, provided the request is made more than 24 hours before the scheduled event, subject to availability of a new date.

Beach City Party Co. reserves the right to cancel a booking at its discretion, in which case any deposit paid will be fully refunded.

Equipment use and safety

Beach City Party Co. delivers and sets up the equipment and provides a simple instruction sheet at delivery. Beach City Party Co. staff do not operate the equipment during your event. The renter, who must be 18 or older, is responsible for operating it according to those instructions and for making sure anyone else who uses it has read them.

The renter agrees to: provide a safe, accessible setup location, including a water source and adequate space where needed; use foam and bubble equipment outdoors only; use fog equipment only in well-ventilated areas away from smoke detectors; keep power cords and connections out of standing water; turn equipment off when it is not being actively monitored by an adult; and keep children away from equipment, cords, and moving parts. Equipment must not be modified, opened, or used with any solution other than the type provided.

Rental period, pickup, and late returns

The flat rate covers one event, from delivery until pickup at the agreed time, normally the next morning. The renter must keep the equipment secure, dry, and out of the rain and weather when not in use, and must make it accessible for pickup at the agreed time.

Equipment not available at the agreed pickup time is subject to a late fee of $50 for each additional day. The renter is responsible for the replacement cost of any equipment that is lost, stolen, or damaged beyond normal use while in their possession.

Liability

Assumption of risk. Equipment involving foam, water, fog, or artificial snow can create wet, slippery, or low-visibility surfaces. By booking, the renter acknowledges these conditions and that the renter, not Beach City Party Co., operates the equipment and controls the event. The renter agrees to take reasonable steps to keep guests safe, including keeping the immediate play area clear of obstacles and supervising guests, particularly minors.

Release of liability. To the fullest extent permitted by law, the renter agrees to release, waive, and hold harmless Beach City Party Co., its owner, and any staff from claims, injuries, damages, or losses arising from the use of rented equipment at the event, except where caused by the gross negligence or willful misconduct of Beach City Party Co.

Property damage. Beach City Party Co. is not responsible for damage to lawns, landscaping, flooring, or other property resulting from foam, water, fog residue, or snow, beyond what is disclosed at booking. The renter is responsible for identifying any areas that should be avoided.

Alcohol and guest conduct. The renter is responsible for the conduct of their guests and for the safe operation of the equipment at all times, including when alcohol is present. Equipment should not be operated by anyone who is impaired, and should be turned off if conditions become unsafe.

Indemnification. The renter agrees to indemnify Beach City Party Co. against claims brought by third parties (including guests) arising from the renter's event, except where caused by Beach City Party Co.'s own negligence.

Weather and rescheduling

In the event of severe weather (heavy rain, high winds, or lightning) that makes equipment unsafe to use, either party may reschedule the booking at no additional charge. Please contact us before delivery if conditions look unsafe. Equipment should not be run during lightning or heavy rain.

Add-ons and multiple machines

Bundling multiple machines or adding extra units for a larger venue is quoted per event. Posted rates apply to the booking confirmed at the time of deposit and are subject to change for future bookings.
